How to Successfully Hold Board Meetings

Board meetings are important as decisions made by your board – and which often require the majority or even all members to reach a consensus and can greatly impact your business. You have to deal with lots of constraints, however they are not as difficult as you may think.

A successful board meeting requires a lot of preparation and thought before the meeting. If your board members do not feel they’re adequately prepared, they will struggle to engage in meaningful discussions during the meeting. This could result in your decision-making process being bogged down or even derailled. To avoid this, it’s essential to distribute your board packs just a few days prior to the date of the meeting.

The chair of your board must go over any ground rules at the beginning of the meeting with participants (e.g. how long a discussion should last or how to make an appropriate decision). This will allow everyone to understand the rules, and create a positive atmosphere.

Reports are usually presented in the following part of an assembly. These could include financial statements, progress reports, or other relevant information. The chair of the board will call each member in to ensure there is a quorum.

During this time the board can also discuss and examine the minutes of the board’s previous meeting. Once these are ready they can be ratified by the entire board. Then, any announcements or updates relevant to the meeting in question can be also shared. The president can also close the meeting or adjourn it.
